How AI Agents Are Transforming Event Operations: From Brief to Delivery

The event industry has always depended on speed, coordination and accurate communication. A single corporate event may involve venues, audiovisual suppliers, transportation companies, catering teams, performers, designers and dozens of operational decisions. Until recently, most of these processes were managed manually through emails, spreadsheets, messaging applications and phone calls.

Artificial intelligence is beginning to change this model.

The biggest opportunity is not simply using AI to write emails or create event concepts. The real transformation comes from AI agents that can support operational workflows from the first client brief to the final delivery of an event.

From Client Brief to Structured Requirements

Corporate event requests often arrive incomplete. A client may know the city, number of guests and general event type, but details such as venue requirements, technical production, catering, accommodation or transportation may still be unclear.

An AI-supported system can analyse the incoming brief, identify missing information and create a structured list of questions for the event team. Instead of replacing the event manager, AI helps the manager understand the request faster and reduce the risk of missing an important detail.

Venue and Supplier Matching

Finding the right venue or supplier is traditionally a time-consuming process. Event teams often compare dozens of options manually.

AI can help classify venues and suppliers according to factors such as capacity, location, event type, technical capability, budget range and previous performance. The final decision should remain with the event professional, but the research and comparison process can become significantly faster.

Quotation and Proposal Management

One of the most repetitive parts of event operations is collecting and comparing quotations.

AI agents can help organise incoming offers, detect missing information and present venue or supplier proposals in a consistent structure. This allows event planners to focus on negotiation, creativity and client relationships rather than administrative work.

Human Approval Still Matters

Event management is not a fully automated industry. Every project includes human expectations, cultural differences, negotiation and last-minute changes.

For this reason, I believe the most effective model is not full automation. It is human-controlled automation.

AI can research, organise, compare and recommend, while an experienced event professional reviews important decisions before they are executed.

This approach combines the speed of technology with the judgement and responsibility of a human team.

AI During Live Event Operations

AI can also support teams after an event has been confirmed. It can help track tasks, deadlines, supplier confirmations, transportation schedules, production requirements and project changes.

In large international events, where many suppliers and stakeholders are involved, having a structured operational system can reduce communication errors and make project status much easier to understand.

The Future of Event Technology

The next generation of event platforms will likely move beyond simple directories or booking systems.

They will combine venues, suppliers, event professionals, project management, quotation workflows, payments and AI-assisted operations within the same ecosystem.

This is also one of the areas we are exploring through TurkeyEvent, a platform focused on connecting event buyers with venues and event suppliers in Türkiye while developing more efficient digital workflows for the industry.

AI will not replace experienced event professionals. But event professionals who understand how to use AI effectively will be able to work faster, manage more complex projects and provide a better experience to their clients.

For the event industry, the most important question is no longer whether AI will become part of operations.

The question is how we design AI systems that support people without removing human judgement from the process.https://www.turkeyevent.com/
